Who is my contact at the Computer Science & Engineering Department?
The Executive Assistant, Jocelyn Encarnacion, will assist you with your visit to CSE. She can be reached at (858) 822-5198.
What information will I need to provide?
- Dates of travel/itinerary
- University/Business affiliation
- Title of Talk and Abstract
- Any special needs/requests for your Talk presentation (eg., Audio-Visual, personal laptop connection).
- To reimburse you for your travel expenses you need to provide the following items:
- Social Security Number
- US citizenship (yes/no) - if no, what is your visa type?
- Mailing address
- Fax number
How do I get my Airline ticket?
It is usually easiest, and most convenient, for you to make your own flight arrangements.
You are welcome to make your own travel reservations (air and car rental, if desired). The department supports your travel from state monies, and therefore is only able to reimburse you for coach or economy class air travel. If this will present problems for you, you will need to contact the Executive Assistant (email above) or your Faculty Host immediately describing the circumstances. Any exceptions to policy require pre-approval from our Department Chair and the Senior Vice Chancellor for Academic Affairs.
Who handles my hotel accommodations?
The Executive Assistant will make your hotel arrangements. Hotel accommodations are within a 5-mile radius of campus.
In some cases, the department will need your credit card number to hold the room reservation. The Executive Assistant will contact you if this is needed.
We need to know if you prefer a smoking or non-smoking room.
The CSE Department can usually prepay your hotel accomodations. Hotel costs (room and tax) will be reimbursed after your visit if Department pre-payment is not possible.
How do I get to campus/hotel?
If you don't rent a car, you may take a taxi or shuttle from the airport to your destination. The following agencies service the airport/UCSD vicinity:

- Cloud 9 Shuttle -- (800) 974-8885
- Yellow Cab -- (619) 234-6161
Some hotels provide a shuttle service to/from the campus.
Other arrangements may also be made on an individual basis.
Can I rent a car?
Yes, if needed you may rent a car. Please let your faculty host or the Executive Assistant know if you will be renting a car.
UCSD has some special requirements for reimbursing car rental expenses. Please visit UCSD's website on car rentals (re: insurance policy).
What about parking?
If you need a parking space on campus, send a request to the Executive Assistant.
A space will be reserved for you in Lot P506, near our building (Computer Science & Engineering building EBU3B).
When you visit, there will be a placard with your name reserving the space.
